Xero is the backbone of most Australian accounting practices. It handles your chart of accounts, bank feeds, invoicing, BAS and reporting. But Xero is also the centre of a web of manual processes — data that needs to be entered, forms that need to be sent, documents that need to be chased, reports that need to be formatted. This guide explains how to automate those processes using Xero's API.

Automated Client Onboarding into Xero
Every time a new client joins, someone manually creates a Xero contact record, sets up their billing terms, creates their first invoice template, and connects their bank feeds. This takes 20-40 minutes per client and it's entirely automatable.
The automated flow: client completes your digital intake form → Make reads the form submission → creates the Xero contact with all fields populated → creates engagement letter via Docusign → adds them to your CRM → sends them a welcome email. Zero manual data entry.

The most painful part of BAS season isn't the lodgement — it's the 2-3 weeks before it, chasing clients for bank statements, receipts and missing information. Automated document collection changes this completely.
A scheduled automation queries your Xero client list for upcoming BAS due dates, sends each affected client a personalised checklist of required documents via email, tracks what's been received, sends reminders every 72 hours for missing items, and gives your team a live dashboard showing completion status across all clients simultaneously.

Automated Invoice Follow-Up

Make polls your Xero invoices daily. When one becomes overdue, a personalised follow-up email goes out immediately. If it's still unpaid at day 7, a firmer reminder. Day 14, a final notice. Day 21, an alert to you to call. If payment is received at any point, the sequence stops automatically.

GET /invoices?Status=OVERDUE — returns all overdue invoices with contact details, amounts and due dates. Triggers the follow-up sequence via Make.

Automated Client Reporting
Monthly management reports are another major time sink for accounting firms. Pulling P&L, balance sheet and cash flow data from Xero, formatting it, writing the commentary, sending it to each client — this process can take 1-3 hours per client per month.
Automated reporting pulls the relevant Xero data for each client on your schedule, formats it into your branded template, generates an AI-written plain-English summary of key movements and variances, and sends it to the client automatically.
